DATA RETENTION POLICY
1. Purpose
This policy is a summary of our internal policy. It provides an overview of how long Britannia Advisory retains personal data and the principles we apply to the retention and disposal of that data. It should be read alongside our Privacy Policy, GDPR Policy, Information Security Policy, and Data Systems documentation, available on our website. 2. About us
Britannia Advisory is the trading name of PG&E Professional Services Ltd (“we”, “us”, or “the Company”). Details about Britannia Advisory can be found here.
3. Responsibility and oversight
We have appointed a Data Protection Officer who is responsible for overseeing compliance with this policy and with applicable data protection legislation. Any questions regarding data retention or disposal should be directed to the Data Protection Officer.
4. General retention principles
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, including:

providing accounting, tax, payroll, audit, and related professional services;

meeting legal, regulatory, and professional obligations (including HMRC, AML, and audit requirements); and

demonstrating compliance to regulators and professional bodies.
Retention periods are determined by reference to legal requirements, regulatory guidance, professional standards, and the nature of the data.
5. Retention periods
As a general rule, client and business records are retained for at least six years following the end of the relevant engagement or accounting period, in line with HMRC and professional guidance. Certain records, such as anti-money laundering documentation, are retained for specific statutory periods. Some corporate and regulatory records may be retained for longer where required or appropriate.
Detailed retention schedules are maintained internally and reviewed periodically.
6. Client records
Britannia Advisory operates on a paperless basis and does not normally retain original documents. Clients remain responsible for maintaining their own records to meet statutory and commercial obligations, including copies of accounts, tax returns, and advice provided.
7. Data subject rights
Personal data is retained in accordance with data subjects’ rights under UK data protection legislation, including the right to access, rectify, restrict, or request erasure of personal data, subject to legal and regulatory retention requirements. Further details are set out in our Privacy Policy.
8. Security and disposal
Personal data is protected by appropriate technical and organisational measures. Once retention periods expire, or where erasure is required by law, data is securely deleted or destroyed in accordance with our Information Security Policy.
9. Policy updates
This policy is reviewed periodically and may be updated from time to time. The most recent version is available on our website.
